Please read these Terms and Conditions carefully before using GajiHub or any services provided by SLV Group Sdn. Bhd. By accessing or using our platform, you agree to be bound by these terms. If you do not agree, please do not use our services.
1. Definitions
In these Terms and Conditions, the following definitions apply:
- "Company" refers to SLV Group Sdn. Bhd. (Company No. [SSM Registration Number]), a company incorporated in Malaysia.
- "Platform" refers to GajiHub, including the web application accessible at gajihub.my and all related subdomains, APIs, and mobile interfaces.
- "Service" refers to the HR management, payroll processing, leave management, HRDC training management, and related services provided through the Platform.
- "User" refers to any individual, company, or organisation that accesses or uses the Platform, including Company Administrators, HR Managers, and Employees.
- "Client Company" refers to any business entity that subscribes to GajiHub to manage its human resources.
- "Employee Data" refers to personal information, payroll data, attendance records, and any other data relating to a Client Company's employees processed through the Platform.
- "Subscription" refers to the paid or trial access plan that grants use of the Platform.
2. Acceptance of Terms
By registering an account, accessing the Platform, or using any Service, you confirm that:
- You are at least 18 years of age;
- You have the legal authority to enter into these Terms on behalf of yourself or your organisation;
- You have read, understood, and agree to be bound by these Terms and our Privacy Policy;
- If you are registering on behalf of a company, your company agrees to be bound by these Terms.
3. Services Provided
SLV Group provides the following services through the GajiHub Platform:
- HR & Employee Management — employee records, onboarding, org chart, document management;
- Payroll Processing — computation of salaries, EPF, SOCSO, EIS, PCB/MTD deductions and payslip generation;
- Leave Management — leave application, approval workflow and leave balance tracking;
- Attendance Tracking — GPS punch in/out, biometric integration, and attendance records;
- Claims & Reimbursements — expense claim submission, approval and payroll integration;
- HRDC Training Hub — HRDC-claimable course catalogue, levy tracking and training application management;
- Reports & Compliance — EA Form (Borang EA), EIS reports, income tax (PCB) summaries;
- Staff Self-Service Portal — employee access to payslips, leave, claims and attendance.
4. Account Registration & Security
4.1 Account Creation
To use GajiHub, Client Companies must register an account by providing accurate, complete, and current information. You agree to maintain and promptly update your account information.
4.2 Account Security
You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. You agree to:
- Use strong, unique passwords for all GajiHub accounts;
- Immediately notify SLV Group at hello@slvgroup.com.my of any unauthorised access or security breach;
- Not share login credentials with unauthorised personnel;
- Log out after each session, particularly on shared devices.
4.3 Multi-Tenant Architecture
Each Client Company operates within an isolated data environment. You may not attempt to access, modify, or interfere with another company's data on the Platform.
5. Acceptable Use Policy
You agree to use GajiHub only for lawful HR management purposes. You must not:
- Upload false, misleading or fraudulent employee data;
- Attempt to reverse-engineer, decompile or disassemble any part of the Platform;
- Use the Platform to process data of individuals without their knowledge or consent;
- Attempt to gain unauthorised access to other accounts, servers or networks;
- Use automated tools, bots or scripts to access the Platform in a manner that disrupts service;
- Resell, sublicense or distribute access to the Platform without written authorisation from SLV Group;
- Use the Platform in any way that violates Malaysian law, including the Employment Act 1955 (as amended), the Personal Data Protection Act 2010 (PDPA), or any other applicable legislation.
6. Payroll & Statutory Compliance
Important Disclaimer: GajiHub provides automated payroll computation as a tool to assist HR professionals. All statutory deductions (EPF, SOCSO, EIS, PCB) are computed based on rates and algorithms in the system, which are updated periodically. However, SLV Group does not guarantee that all computations are error-free or fully compliant at all times.
The Client Company remains solely responsible for:
- Verifying the accuracy of all payroll computations before disbursement;
- Ensuring timely submission and payment of EPF, SOCSO, EIS and PCB to the respective statutory bodies;
- Filing correct tax returns and EA Forms with LHDN;
- Complying with the Employment Act 2022 and all applicable Malaysian employment legislation;
- Obtaining appropriate professional advice (legal, accounting, tax) where needed.
SLV Group shall not be liable for any penalties, fines, interest or losses arising from incorrect statutory submissions.
7. HRDC Training Services
The HRDC Training Hub connects Client Companies with HRDC-claimable courses offered by SLV Group. The following terms apply:
- Course applications submitted through the Platform are subject to availability and SLV Group confirmation;
- HRDC claimability depends on each Client Company's registration status with HRD Corp;
- SLV Group does not guarantee approval of HRDC claims submitted to HRD Corp;
- Training fees are payable as invoiced by SLV Group unless covered by confirmed HRDC claims;
- Cancellation of confirmed training bookings less than 7 working days before the training date may incur a cancellation fee of up to 50% of the course fee.
8. Subscription & Payment
8.1 Plans
Access to GajiHub is provided under subscription plans as published on our pricing page or as agreed in a separate service agreement. Trial access may be provided at our discretion.
8.2 Payment
Subscription fees are due in advance and must be paid by the due date specified in the invoice. SLV Group reserves the right to suspend access to the Platform upon non-payment.
8.3 Refunds
Subscription fees are non-refundable except as required by Malaysian consumer protection law or as expressly stated in a service agreement. If you believe a charge was made in error, contact us within 14 days at hello@slvgroup.com.my.
9. Data Ownership & Privacy
All Employee Data uploaded to the Platform by a Client Company remains the property of that Client Company. SLV Group processes this data solely to provide the Services described herein and in accordance with our Privacy Policy.
Upon termination of your subscription, SLV Group will retain your data for 90 days, during which you may request an export. After 90 days, data may be permanently deleted.
10. Intellectual Property
All intellectual property rights in the GajiHub Platform — including software, design, trademarks, logos, documentation, and course materials — are owned by or licensed to SLV Group Sdn. Bhd. You are granted a limited, non-exclusive, non-transferable licence to use the Platform solely for your internal HR management purposes during the subscription period.
You may not copy, modify, create derivative works from, or distribute any part of the Platform without our express written consent.
11. Confidentiality
Each party agrees to keep the other party's confidential information strictly confidential and to use it only in connection with these Terms. This obligation survives termination of your account for a period of 3 years.
12. Service Availability & Maintenance
GajiHub is provided on an "as available" basis. We strive to maintain 99% uptime but do not guarantee uninterrupted access. Planned maintenance will be communicated in advance where possible. SLV Group shall not be liable for any loss arising from temporary service interruptions.
13. Limitation of Liability
To the maximum extent permitted by Malaysian law, SLV Group's total liability to you for any claim arising from or related to these Terms or the Services shall not exceed the total subscription fees paid by you in the 3 months preceding the claim.
SLV Group shall not be liable for any indirect, incidental, special, consequential or punitive damages, including loss of profits, data loss, or business interruption, even if advised of the possibility of such damages.
14. Indemnification
You agree to indemnify and hold harmless SLV Group, its directors, employees, and agents from any claims, damages, losses, and expenses (including legal fees) arising from:
- Your use of the Platform in violation of these Terms;
- Your violation of any applicable law or regulation;
- Any data you upload or process through the Platform;
- Any dispute between you and your employees.
15. Termination
Either party may terminate these Terms by providing 30 days written notice. SLV Group may suspend or terminate your account immediately if you:
- Breach any provision of these Terms;
- Fail to pay any outstanding subscription fees;
- Engage in conduct that is unlawful or harmful to other users or SLV Group;
- Become insolvent or cease business operations.
Upon termination, your right to access the Platform ceases immediately. Provisions that by their nature should survive termination will do so, including intellectual property rights, confidentiality, limitation of liability, and governing law.
16. Governing Law & Dispute Resolution
These Terms are governed by and construed in accordance with the laws of Malaysia. Any dispute arising from these Terms shall first be submitted to mediation. If mediation fails, disputes shall be resolved by the Courts of Malaysia, and both parties submit to the exclusive jurisdiction of the Malaysian courts.
17. Changes to These Terms
SLV Group reserves the right to update these Terms at any time. We will notify registered Client Companies by email at least 14 days before material changes take effect. Continued use of the Platform after such changes constitutes your acceptance of the updated Terms.
